How to Get Here
- Navigate to the user or contact's profile page (either by creating a new one or editing an existing one).
- Ensure the General tab is selected.
Instructions
- In the Title field, enter the person's job title (e.g., "CEO," "Office Manager").
- Use the Description box to add any relevant notes about this person.
- Click the Browse... button to upload a profile picture for the user.
- When you are finished, click the green Save User Information button at the top of the page to save your changes.
Expected Result
The information will be saved, and the user's profile will be updated.
Address
To edit a user's address, phone numbers, or other contact details, click on the Address tab. This will open the main contact management form. For detailed instructions on how to use each of the sub-tabs, please go to How to Add a New Account then to Address.
Options
Title: How to Manage Portal Access and Security (Options)
Introduction
The Options tab is a powerful feature for managing a contact's access to the customer-facing Portal, as well as other specific settings for their account. The Portal is a version of the CRM where your clients can log in to view their own information.
How to Get Here
- Navigate to the detail page for the contact whose portal access you want to manage.
- In the tab menu, click on Options.
Instructions
This screen allows you to configure and control a contact's portal experience.
Key Settings:
- Theme (Portal): Controls the visual color scheme of the portal for this user (e.g., "White Theme" or "Dark Mode").
- Portal Layout: This is the most important setting. It assigns a user role or permission levelto the contact, controlling what they can see and do within the portal. Select the appropriate layout by clicking in the box and choosing from the list of available groups.
- Examples of Layouts: Customer, Manager, Sales, Default Administrator Layout, Employee, Vendor, etc.
To Grant Portal Access:
- Enter a temporary Password for the user in the password field.
- Turn the Send Welcome Email toggle ON. This will send the user an invitation with their login details.
- Click the main Save User Information button at the top of the page.
Other Toggles:
- Use the other switches on the right to control specific behaviors. For example:
- Change Password: Force the user to change their temporary password upon their first login.
- Send Notice On Change: Send the user an email notification when their account details are changed.
- Include In Mailing List: Add this contact to your general mailing list.
